Schedule Past Due Charge Emails (How-to)

Use the Past Due Emails feature to create and send custom past due emails with verbiage based on your organization's policies. 

LegFi sends default delinquency reminders on the 3rd and 15th of every month, but with the Past Due Emails tool, you can create custom emails per delinquency timeframe (1-30, 31-60, 61-90, etc. days past due) with recurring scheduling options (weekly, bi-monthly, monthly) and organization specific messaging. 

 

Before you begin: 

Confirm that the Past Due email templates contain the correct messaging for your organization. 

There are 4 available templates that align with the aging timeframes of 1-30, 31-60, 61-90, and 91+ days. If a member's past due balance falls within one of these timeframes, they will receive this email template at the frequency chosen.

 

How to Edit Past Due Templates:

  1. Navigate to the Collections page in LegFi.
  2. Select Past Due Emails.Untitled design (7).png
  3. In the Past Due Templates box, select the three dots under Actions and then Edit.Untitled design (8).png
  4. The Description, Email Subject, and Email Body can be customized.
  5. By selecting the Insert Variable drop down, you can choose the member specific Account Number, First Name, Last Name, Balance, etc. to be added to your Email Body.Untitled design (10).png
  6. Select Send to Auxiliary if any auxiliary emails attached to the members account should also receive the Past Due email.Untitled design (11).png
  7. Click Edit Past Due Email to save your edits to the template.
  8. Repeat steps 3-7 to make updates to the other templates. 

 

How to Schedule Past Due Charge Emails:

  1. Navigate to the Collections page in LegFi.
  2. Select Past Due Emails.
  3. In the Recurring Settings box, select the Frequency of how often the delinquency emails should be sent.Untitled design (13).png
  4. Choose the Start Date.
  5. The Next Run Date will autofill.
  6. Click Update Settings. 

 

How to Send Past Due Charge Emails (no scheduling):

  1. Navigate to the Collections page in LegFi.
  2. Select Past Due Emails.
  3. In the Past Due Templates box, select the three dots under Actions and then Send Now.Untitled design (12).png

This action does not require scheduling emails, and you can manually send your chosen email template to members who's past due balance meets the Aging Timeframe criteria.
