Introduction
Payables, LegFi's bill pay feature, enables your organization to increase financial control and accuracy, reduce operational costs, streamline business operations, and prevent fraud by paying your chapters bills in just a few clicks.
Audience
Payables is already included in your LegFi subscription fee, and any members with Edit Access to the Payables tab can create, edit and approve bills and invoices for your organization.
Use Cases
Payables can be used to:
- Create and Manage Payee (vendor) profiles
- Attach bills and invoices to Payee records
- View Payee History
- Archive Payees that are no longer relevant
- Issue Payments
- Create payments that attach to your uploaded bills/invoices
- Allow Payees to receive payments via ACH or mailed check
- Reimburse members for purchases made on behalf of the organization
- Refund members that have overpaid on their LegFi Account
- Easily view upcoming, unpaid, and past due bills/invoices
- Create recurring payments to be sent at your preferred interval and time
- Securely manage your organization's money
- Set signature requirements that dictate how many members need to approve payments to be sent
- Void payments that have not been processed by your Payees
- Manage which Treasury Accounts payments are being made from
Before You Begin

Dashboard
The dashboard gives you an overview of Unapproved Items (payments), an Aging Bill Summary that shows a 30/60/90 of your unpaid bills, Unpaid Bills which includes both bills that need a payment attached and bills that have payments requiring approval, and Upcoming Approved Payments. Additionally, you can add a new bill from the dashboard, or create a one-time Quick Pay item.

Payments
Choose from a number of filters to view the payments you would like to see for your organization. Once found, you may view, edit, approve, delete, see processing information, and review payment details for that payment.

Bills
Similar to Payments, choose from a number of filters to find the bill(s) you would like to view. From there, you can view bill details, itemize the charges on the invoice using different expense categories, upload attachments such as bill/invoice images, add Payments, edit bill information, and delete the bill if necessary.

Recurring
If you have payments that you send every month, you can automize the process by creating a recurring item (payment). Choose the Payee it will be sent to, the duration for the recurring item, and the frequency it should be sent at.

Payees
View all your organization's Payees (vendors) in a list format. Here you can add new Payees, edit current Payees, view Payee history, and archive Payees no longer used by your organization. The archived Payee list will allow you to review archived Payee history as well as give the option to unarchive any Payee that is being used again by your organization.
